Oklahoma Interscholastic BMX League
Privacy Policy
Last updated October 26, 2026
This Privacy Policy explains how the Oklahoma Interscholastic BMX League (“OIBL,” “the league,” “we”) collects, uses and protects information in the OIBL Rider Portal (the “Portal”), including the text messages and emails we send to families. The Oklahoma Interscholastic BMX League is the Oklahoma branch of the National Interscholastic BMX League.
Our commitment
- We do not sell, rent or trade personal information, including mobile phone numbers, to anyone.
- No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from all information sharing described in this policy and will not be shared with any third parties.
- We use information only to run the league and keep families informed about their riders.
Information we collect
- Parent and guardian contact information: names, email addresses, mobile phone numbers, mailing address and emergency contacts, provided at registration or in the Portal.
- Rider information: rider name, date of birth, team, school and grade, USA BMX membership number, race class, race results and rankings, practice and race-day choices, and profile details a family chooses to add.
- Health and injury information: injury dates and doctor's notes a family provides so a rider is excused from required races. These are seen only by league administrators.
- Account information: the email address used to sign in (with Microsoft, Google, Apple or a password) and basic sign-in records.
- Messaging preferences: which family members receive text reminders, and records of reminders and notices sent.
- Open house sign-ups: see Open houses below.
- Public race data: results and points published by USA BMX, used to show race results and rankings.
How we use information
- Registering riders, assigning teams and running practices, races and events.
- Showing each family their riders' schedules, results and rankings.
- Sending service messages: race-day and practice reminders, missed required race notices, schedule changes, event and clinic information, password and sign-in links, and league announcements.
- Keeping riders safe, including excusing injured riders and contacting families in an emergency.
- Improving and securing the Portal.
Text messages (SMS)
If a parent or guardian adds a mobile number and opts in, we send text messages about the league: race-day reminders (including the Thursday before and on race day), missed required race notices, schedule changes and important league updates. Message frequency varies with the race and practice schedule. Message and data rates may apply.
- Reply STOP to any message to opt out at any time; you will receive one confirmation and no further texts. Reply HELP for help.
- You can also change who in your family receives texts on the My family page.
- Mobile numbers and SMS consent are used only to send these league messages. We never sell mobile numbers or share them, or SMS opt-in data and consent, with third parties or affiliates for marketing or promotional purposes.
- Our text messaging provider processes numbers only to deliver our messages, under its own privacy and security obligations.
See the SMS terms for full program details.
Children's information
Riders are often under 13. Rider information is provided and managed by a parent or legal guardian, not by the child, and the Portal is intended for use by parents, guardians, coaches and league staff. Public rider profiles are off unless a parent turns them on, and even then show only what the parent chooses (for example a nickname, team and race results). A parent or guardian can review, correct or ask us to delete their child's information at any time.
Open houses
Anyone can sign up for an open house without an account. We collect each student's name, grade and age (and, if given, their own phone and email), the parent or guardian's name, email and mobile number, whether we may email and text them, and answers to any other questions on that open house's form. We use it to plan the open house, send the confirmation and reminders, record who attended, and, only if the parent agreed, tell the family about future open houses and teams. If the parent agreed, we may send reminders before the open house and a few follow-up emails or texts afterward; these stop when the family signs up for another open house or registers for a team, and every email has an unsubscribe link (reply STOP to any text). A parent can also create an account with the same email to see and change their RSVPs. Students who sign up for an open house are not put on a team. Only league administrators see sign-ups. The confirmation email includes a private link to change or cancel the RSVP; anyone with that link can see it, so please don't share it. To keep out automated sign-ups, the form uses Cloudflare Turnstile, which checks the browser and may set a cookie for that purpose only. Ask us any time to delete an open house sign-up.
Anyone can also ask to hear when the next open house in their area (Tulsa Metro or OKC Metro) is added. We keep their email, their area and, if they give it and agree to texts, their mobile number, and use them only for one email (and text) about each new open house in that area. Every email has a link to stop them (reply STOP to any text). Ask us any time to delete it.
The public home page lists riders who are close to moving up a skill level, or moved up in the last six months, by first name, last initial and team only, with their move-up wins from usabmx.com.
Who can see information
- Your family: parents and guardians on your family account, and people you invite.
- League administrators and, for their teams, coaches and team staff, as needed to run practices and races.
- Other families: only rankings and results, with riders shown by first name and last initial, and any profile a parent has made public.
- Service providers that host the Portal and deliver email and text messages (for example Microsoft Azure and Twilio), and Cloudflare for the bot check on open house sign-up forms, only to provide those services.
- When required by law, or to protect the safety of riders or others.
How we protect information
The Portal uses encrypted connections (HTTPS), secure hosted databases and stored secrets, sign-in through trusted providers, and limits on who can see sensitive information. Doctor's notes are stored privately and are available only to league administrators. No method of storage or transmission is completely secure, but we work to protect your information and will notify affected families of any breach as required by law.
How long we keep information
We keep registration, results and schedule information while a rider participates in the league and for a reasonable period afterward for league records. Health information and doctor's notes are kept only as long as needed. Families may ask us to delete information at any time, unless we must keep it by law.
Your choices
- Update contact details and texting preferences on the My family page.
- Opt out of texts by replying STOP, and opt out of non-essential emails using the link or by contacting us.
- Ask to see, correct or delete your family's information by contacting us.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed; important changes will be announced in the Portal.
